How to Notarize a U.S. Document from Abroad
Need to notarize a document for the United States while you are in another country? In many cases, you can complete the notarization online without traveling back to the U.S. A Florida remote online notary can meet with you by live video, verify your identity, and complete an eligible notarization while you remain abroad.
At Leones E-Notary Services, we help clients outside the United States with remote online notarization, certified English-Spanish translation, and Florida apostille assistance. Whether you are living overseas, traveling, or handling documents for family or business, we can help you coordinate the steps your document needs.
The starting point is simple: tell us where you are, what document you have, and where it will be used.
Can I notarize a U.S. document while outside the country?
Yes, many documents can be notarized through Florida remote online notarization while the signer is outside the United States. The online notary must be physically in Florida, and the session must meet Florida’s legal requirements, including identity verification. Florida’s online notarization law allows the signer to participate from another location.
Before booking, confirm that the bank, agency, attorney, business, or other recipient accepts a remotely notarized electronic document. Requirements in the country where you are signing also matter. The U.S. Department of State recommends checking the applicable U.S. state and foreign-country requirements.
For an eligible document, this can offer a convenient way to use a U.S. notary from overseas without arranging travel around an in-person appointment.
How to notarize a document online from another country
1. Share your document and the recipient’s instructions
Start by contacting us with your document type, current country, destination country or institution, and deadline. Include any instructions about notarization, witnesses, translation, or original documents. We can then explain the service options and how to provide your document for review.
2. Confirm identification and signing requirements
You will need an acceptable government-issued photo ID and must complete the required identity-verification process. Let us know in advance if you have a foreign passport or are unsure whether your identification will work. An ID that is legally acceptable still needs to work with the verification process used for your session.
If you do not have a U.S. Social Security number, contact us before booking so we can confirm whether the available verification process supports your situation.
Powers of attorney and documents requiring witnesses need an advance review of their signing requirements. Do not assume that every document can follow the same process.
3. Schedule your video appointment
Have a computer, tablet, or smartphone with a working camera and microphone, a reliable internet connection, and a quiet place for the call. Confirm the appointment time in your local time zone, the services included, and the total cost before booking.
4. Complete the notarization
During the session, the notary verifies your identity and guides you through the required signing, acknowledgment, or oath. Follow the session instructions for electronic signatures. Once completed, you receive the notarized electronic document.
5. Arrange any additional services
If the document also needs translation or an apostille, we can help coordinate the applicable next steps. Tell us the full purpose at the beginning so document preparation and delivery can be planned together.

What documents may be notarized while you are abroad?
Depending on the document and recipient’s requirements, online notarization may be suitable for:
- Affidavits and sworn statements.
- Authorization letters and consent forms.
- Business documents and agreements.
- Certain powers of attorney.
- School or administrative forms requiring a notarized signature.
- Eligible documents that will later need a Florida apostille.
Send any special instructions before scheduling. A power of attorney, for example, may have witness or execution requirements that affect whether remote signing is appropriate.
Do you also need certified translation or an apostille?
Where you are signing and where the document will be used are two different things. That distinction helps determine which services you actually need.
If your document will be used in the United States
You do not automatically need a Florida apostille simply because you are signing from another country. Ask the recipient what it requires for your particular document.
If you are submitting a Spanish-language record, you may need a certified English translation. For example, the federal rule for USCIS submissions requires foreign-language documents to include a full English translation and the translator’s certification of accuracy, completeness, and competence.
Our certified English-Spanish translation service can be arranged online, with completed translations delivered electronically. Share the receiving institution’s instructions when requesting the service.
If your U.S. document will be used in another country
An apostille may be required for a document going to a country where the Hague Apostille Convention applies. Other destinations may require a different authentication or legalization process. The U.S. Department of State’s apostille guidance explains this distinction.
Leones E-Notary assists with eligible Florida apostille requests. The government authority issues the apostille. Eligible Florida public records and documents notarized by a Florida notary can follow Florida’s process. Public records issued by another state generally go to that state’s authority; federal documents generally go to the U.S. Department of State.
Translation may also be needed. Before starting, confirm whether the recipient wants the translation to include the apostille certificate and whether it requires a particular translator qualification or format.

Can everything be arranged while I stay abroad?
In many cases, yes. You can communicate with us remotely, complete an eligible online notarization, request certified translation, and coordinate Florida apostille assistance while remaining outside the United States.
Remote service does not always mean every document stays digital. Apostille processing may require an original document, an official certified copy, additional preparation, and physical delivery. Florida’s apostille submission instructions specify the required document formats; an ordinary scan or photocopy is not enough for every request.
We can explain which steps can happen online and what must be prepared or delivered physically. Confirm processing and shipping arrangements before relying on a deadline.
Frequently asked questions about notarizing documents from abroad
Do I have to be a U.S. citizen to use an online notary?
U.S. citizenship is not itself a requirement for Florida remote online notarization. However, document eligibility and identity verification still apply. Contact us before booking so we can check the available verification process for your situation.
Can I use a foreign passport?
Florida law permits a foreign passport without a U.S. immigration stamp for a signer outside the United States. This does not guarantee that every passport holder can complete online verification. Tell us your ID type in advance so we can confirm what is needed.
Do I need to visit a U.S. embassy or consulate?
Not necessarily. Remote online notarization may be an option when your document, identity verification, applicable requirements, and receiving institution allow it. If the recipient specifically requires a consular notarization or an in-person signature, follow those instructions.
Can I get a Florida apostille without being in Florida?
You can request assistance while abroad. The document must be eligible for Florida processing, and any original-document and delivery requirements still apply. Contact us before mailing documents so the correct steps can be confirmed.
